Here’s the truth: Being busy doesn't mean you’re productive. I’ll share how you can plan your week to focus on priorities and track your progress.



What’s the difference between ‘busy’ and ‘productive’? As real estate agents, we juggle client meetings, showings, paperwork, and personal life. It’s easy to end a day feeling exhausted and say, “I was so busy today,” only to wonder, “What did I even accomplish?” I’ve been there and want to help you avoid that trap. Here are five calendaring tips to ensure you’re not just busy but truly getting things done.

1. Use a calendar. It might sound obvious, but a calendar gives you a clear view of what you must accomplish each day, week, or month. Choose what works best for you, whether you prefer a paper planner or a digital one.

I recommend a digital calendar since we’re in the people business; it makes sending invites and sharing information with clients or colleagues easy. If you have a calendar but rarely use it, start there. Commit to checking it daily to plan your tasks and appointments.

2. Preload big items. This means not just work deadlines but also personal milestones like birthdays, anniversaries, kids’ events, and big trips. For example, Christmas comes every year, so plan for it. The same goes for your spouse’s birthday or your kid’s soccer tournament. Mark these events early to avoid scheduling conflicts and ensure you’re prepared for what matters most.

3. Focus on top priorities. While we have a long list of tasks, focus on what truly moves the needle. Instead of getting sidetracked by small stuff, prioritize your most important tasks. If following up with a hot lead or preparing a client proposal is crucial, schedule it early when you’re at your sharpest. By tackling top priorities first, you’ll end the day knowing you accomplished what matters most.

4. Create theme days. Constantly switching between tasks, like writing emails, showing homes, and handling paperwork, wastes time and energy. Instead, designate specific days for certain activities.

I make Tuesdays my office day for paperwork, while Mondays, Wednesdays, and Fridays are reserved for client appointments. Thursday afternoons are for showings. This structure helps you stay focused and productive, reducing the mental drain of task-switching.

5. Establish a weekly cadence. Once a week, take the time to map out the upcoming week. Align your schedule with your goals, whether closing deals or spending time with family. Reflect on the past week during this session: Did you stick to your calendar? What worked well? What needs tweaking? 

This step keeps your calendar relevant and realistic. Without it, you risk having a fancy calendar that doesn’t reflect your reality, which may lead you to stop using it altogether.
